01The Challenge

The Hidden Oak is an exclusive-use barn and farmhouse near Stockton-on-Tees, set in grounds the family has planted and shaped over twenty years. The venue was never the problem. Knowing what the marketing behind it was doing was.

  • No clear view of which marketing was working, or what the monthly spend was actually returning
  • Social media had gone quiet in the gap after a previous agency, and reach had dropped with it
  • A website that was not showing the venue at its best
  • A clear goal: more brochure downloads, enquiries and viewings, with the source of every one visible

02The Approach

We built one system for every couple, from the first ad they see to the day they book.

  • VenueFlow CRM, with automated WhatsApp and email follow-up from the moment a couple requests the brochure
  • A mobile-first digital brochure, written to read like the wedding day itself
  • A new website with a wedding cost calculator, so couples can price their day before they enquire
  • A viewing calendar couples can book straight from the follow-up messages
  • Meta campaigns at £15 a day driving brochure requests, raised to £25 a day once cost per lead had settled
  • Monthly social media content across Instagram and Facebook

03The Results

The ads went live in July 2026. Eleven weeks later, the owners had their answer.

  • £1,300 of Meta ad spend turned into £112,624 of booked weddings, an 86x return
  • 6 weddings booked directly from the ads, and 11 in total through VenueFlow, worth £193,006
  • All 11 booked between mid-August and early October
  • Cost per lead fell from £2.74 at launch to as low as £1.53
  • Over 500 brochure leads captured in VenueFlow
To be fair Kai, really happy so far. I'm happy with the website, I'm starting to get used to the system, so everything's looking good from my point of view.

The takeaway

You should not have to take your marketing on faith. When every enquiry runs through one system, you can see which pound brought in which wedding, and spending more stops feeling like a gamble.
